- Temperatures in October in Cambridge typically range between the 60s during the day, and cooler at night, roughly around the 40s.
Travel Arrangements:
- EdRedesign will cover your round-trip flights or trains. To make your flight or train reservations, please contact Rosanne McGoldrick at the Travel Collaborative. She can be reached at rmm@travelcoll.com. We recommend arriving in the late afternoon on Tuesday, October 15th and departing after 3:30pm EST on Friday, October 18th. There will be an optional, light reception on Tuesday, October 15th at 5pm EST.
- Please note that unfortunately due to recent airline industry changes, it is not possible to include checked luggage fees on the ticket. Fees for checked bags will be the traveler’s responsibility and will be due when bags are checked at the airport.
- The deadline for booking your flights is Friday, September 13th. When reaching out to Rosanne, she will need to know the following information: name as it appears on government-issued I.D. or passport, date of birth, cell phone number, city of departure, and any airline preference and TSA or Global Entry number.
- An important disclaimer: Once your flight is authorized through Travel Collaborative, it is officially booked. Should you need to make any changes afterwards, please reach out to Rosanne McGoldrick.
Hotel Accommodations:
EdRedesign will cover the cost of your hotel room and taxes at a single-occupancy rate at the Charles Hotel in Harvard Square for checking in on Tuesday, October 15th and checking out on Friday, October 18th. This hotel is a short, easy 5-minute walk to where the convening is held each day.
Unless you opted out of the hotel in your registration form, we have reserved hotel rooms for all guests traveling from out of state. By the end of September, guests will receive their reservation confirmation via email directly from the Charles Hotel.
Note: Please be aware we are unable to pay for any other hotels if you choose to stay elsewhere. Additional nights or guests, as well as any incidental expenses and no-show fees, will be the traveler’s responsibility. While room and tax are covered, guests are still required to have a card on file for check-in to cover incidentals. If you are interested in extending your stay outside of the covered evenings, the hotel cannot guarantee the room block rate or availability for any additional nights. Please email Shoshana Zuckerman, EdRedesign Senior Program Coordinator, at shoshana_zuckerman@gse.harvard.edu if you need to modify your reservation dates.
Changes:
Thank you for swiftly reaching out if there are any changes to your travel and hotel needs so we can update our guest information accordingly.
Ground Transportation:
EdRedesign will provide each fellow with a unique Lyft code that will cover 4x trips (home to airport, airport to conference, conference to airport, airport to home). Each trip can be up to $75, and the voucher includes the ability to add up to a 20% tip for the driver for each trip. If you run into any issues, please contact Shoshana at 978-884-4506. Please do not pay out pocket for any of the rides – a staff member will help pay for your ride if you run into any issues with the code.
Parking:
For local participants driving to and from Cambridge each day for the event, validated parking is available at University Place Garage, 45 University Road. If there is a sign that the garage is full, inform the parking attendant that you are part of the EdRedesign parking block, and they will let you in. The garage is a 5-minute walk to the Gutman Library Conference Center. Please see a member of the EdRedesign staff to obtain a validation ticket before you return to your car at the end of the day. We regret that we are unable to reimburse out-of-pocket expenses: you must use the designated garage and validation ticket to have your parking covered.
Please be aware of the following process for the validated onsite parking:
- You will get a regular white parking ticket when you enter the garage.
- When you arrive for registration at Gutman Library Conference Center, request a parking voucher for each day you will attend the workshop.
- When you leave the garage at the end of each day, insert the white ticket and then insert the colored parking voucher as payment.
- If you have any difficulty using the parking voucher, please see the parking attendant at the garage. All the vouchers have been pre-paid and will cover your full parking cost for the day.
